Now this section is unique in that administrators can venture into system management and identify which fields are required based on four different types of therapists:

  1. Employee
  2. Independent Contractor
  3. Interviewee
  4. Trainee

Keep track of all of your therapist demographic information in one place, with our comprehensive therapist info feature. This time-saving tool allows users to keep track of not only demographic information but also:

  1. Add, edit or remove trainings that the therapist has completed along with the score that they received.
  2. Add, edit, or remove any disciplinary actions that this therapist has received.
  3. And most importantly keep track of the therapist rate per client, task, project or overall.

  2. Event scheduler
  3. Schedule creation based on status (Available for therapy, on vacation, not available, etc.)
  4. Set re-occurring patterns that re-occur daily, weekly, or monthly
  5. Set detailed notes for each event
  6. Start and End Times for each event whether re-occurring or not
  7. Color coding system for event legend that can be updated with custom colors in the system management section

Sometimes tasks need to be assigned to therapists, ok well probably a lot of the time. So we created this feature with you in mind whether it is instructing therapists to sign documents, enter in data, turn in timesheets, or just add their schedule to the portal this feature makes keeping track of those tasks a breeze.

Regardless of the task, our therapist tasking system can help them stay on top of their to-do list. With our comprehensive therapist tasking feature, administrators, office staff and even clinical management can assign tasks to therapists with the click of a button.

Therapist tasking feature includes the following items:

  1. Comment section where the therapist assigned the task can send messages back and forth with the person that assigned the task.
  2. Two step completion process where the therapist assigned to the task clicks “Complete “and then the person that assigned the task either verifies the task or changes its status to “Not Completed” and sends revisions in the task comments section.
  3. When tasks are assigned, the system will automatically notify the therapist that they have a pending task to be completed by email or text.
  4. When assigning tasks to therapists, administrators can assign tasks to groups of therapists or individuals.
  5. Therapists can see all relevant information on the task such as title, description, created by, assigned to, status, due date, and creation date.

File storage, where do we put files and how do we organize them? With our neatly organized system users of the therapist document sections can store files in one of two different repositories, namely Therapist User Group and Therapist Specific. The therapist user group is the repository located that the top and the therapist specific is the repository located at the bottom.

This documents feature is like any other in the system in that it is controlled by the user permissions section, so if you don’t want therapists to have access to this section, the wont get it.

This unique documents section allows users to personalize their documents by changing the text and background color of different documents in this section.

Therapist User Group

 

Within this section all folders and documents that are designated by administrators or office staff as assigned to all therapists will appear here. For example all documents related to all therapists such as instructions on how to use the portal, or blank forms would appear here.   This section is visible to all users within the therapists user group section (Therapists are divided into Behavior therapists, level 2.5, level 2, and level 1.

Therapist Specific

 

Within this section documents that are specific to this particular therapist are kept. Documents such as liability insurance, documents signed by therapists, timesheets, and many other documents.

What is this feature:

This feature allows anyone (Including the therapist if you so choose, to view the hours that have been billed for a particular client by each therapist.

Do your therapists ever come to you wondering how many hours they have completed and with which clients? Well if they haven’t then this feature is just here for aesthetics, but if they have, then this feature just made your life a little bit easier.
